Overview

Fix multifunction printer scan-to-email failures including SMTP authentication errors, SSL/TLS configuration, app password requirements, and email setup guide.

Key Details

  • Scan to email requires the printer to connect to an SMTP server to send the scanned document
  • Gmail, Outlook.com, and Yahoo now require app-specific passwords or OAuth — regular passwords do not work
  • Most printers support SMTP with STARTTLS (port 587) or SSL (port 465)
  • Authentication failures are the most common scan-to-email issue
  • Some corporate environments block SMTP from devices other than the mail server

Common Causes

  • Email provider blocking regular password authentication (Google, Microsoft require app passwords)
  • Wrong SMTP port or encryption method configured on the printer
  • SMTP server address incorrect
  • Printer's TLS version not supported by the email server (some printers only support TLS 1.0)
  • Corporate firewall blocking outbound SMTP from the printer's IP

Steps

  1. 1For Gmail: create an app password at myaccount.google.com > Security > App passwords (requires 2FA enabled)
  2. 2For Outlook.com: use smtp.office365.com, port 587, STARTTLS, and an app password if 2FA is enabled
  3. 3Access printer's web interface: type the printer's IP in a browser > Network/Email settings
  4. 4Configure: SMTP server, port 587, STARTTLS, your email address, and app password
  5. 5Send a test email from the printer's web interface to verify the configuration
  6. 6If TLS fails: some older printers need a firmware update to support TLS 1.2+
