Fix network printer setup errors including printer not found on network, incorrect IP configuration, firewall blocking, and wireless setup failures.

Key Details

  • Network printers use mDNS/Bonjour, WSD, or SNMP for discovery on the local network
  • Printers on a different subnet or VLAN than the computer will not be auto-discovered
  • Wireless printers need to be on the same Wi-Fi network as the computer
  • Static IP is recommended for network printers to prevent DHCP address changes
  • Windows Firewall must allow printer discovery protocols (mDNS port 5353, WSD)

Steps

  1. 1Print a network configuration page from the printer to find its IP address
  2. 2Ping the printer IP from the computer: ping PRINTER_IP — verify connectivity
  3. 3Add printer by IP: Windows Settings > Printers > Add > The printer I want isn't listed > Add using TCP/IP
  4. 4Set a static IP on the printer through its web interface (access via browser at printer IP)
  5. 5Check firewall: ensure 'Network Discovery' and 'File and Printer Sharing' are allowed for Private networks
